Catch-up

Years behind. We can fix it.

Cleanup and catch-up bookkeeping for Indiana small businesses — we rebuild your books from statements and receipts so you can file, refinance, or breathe.

Catch-up and cleanup bookkeeping in progress — receipts and bank statements being reorganized into clean books

How far behind is too far behind?

There is no "too far behind." We've rebuilt books going back 4+ years from a shoebox of receipts. The further back, the more reconstruction work — but it's all doable. The cost generally tracks transaction volume, not how angry you are at yourself.

The IRS doesn't expire on unfiled years; the sooner you start, the smaller the snowball. If you've received notices, that becomes urgent — see IRS Representation.

What do you actually need from me?

Bank and credit-card statements (downloads are fine, you don't need to print them). Payment processor exports (Stripe, Square, PayPal, Toast — whatever you use). Any 1099s you've issued or received. A list of major vendors. That's typically enough to start.

Receipts are helpful but not blocking; for most categories, the bank record + a sensible categorization holds up. Where receipts matter (large equipment, repairs vs. capitalization decisions, charitable giving), we'll ask.

How long does cleanup take?

Ballpark: one year of backlog takes 2–6 weeks depending on transaction volume and complexity. Multi-year goes faster than people expect once we're rolling — the second year is half the time of the first because the chart of accounts is built.

We work in parallel with your tax return. If you're behind on filing, we sequence the books to deliver the oldest year first so your CPA (or us) can file.

What does cleanup bookkeeping cost in Fort Wayne?

We quote per-year, flat-fee, based on transaction volume and complexity. Typical ranges: $1,500–$5,000 per year for a service business, $3,000–$10,000+ for inventory-heavy or multi-entity work. The free triage call gets you a number before you sign anything.

What's included

  • Triage call. We map exactly how far behind, in which systems, and what's recoverable.
  • Reconstruction. From bank/credit statements, payment processor exports, and 1099s — built in a clean chart of accounts.
  • Reconciliations. Every account, every month, balanced. No missing transactions, no plug entries.
  • Year-end packages. Tax-ready financials per year for prior-year returns or amendments.
  • Ongoing handoff. Optional handoff to monthly bookkeeping so you never end up here again.

Common questions

Cleanup & Catch-up Bookkeeping — questions we get

Will the IRS still penalize me if I file late but file?
Likely yes for late-filing and late-payment penalties — but filing is materially better than not filing. We can sometimes abate first-time penalties; for ongoing situations, see IRS Representation.
Can you help if I lost my QuickBooks file?
Yes. We rebuild from external records (bank statements, processor exports, 1099s). Lost QuickBooks files happen — we don't need them to rebuild books.
What if I don't have all my receipts?
Most categories don't need receipts — the bank/card record holds up. Where receipts matter (large equipment, business meals over the threshold, charitable giving), we'll guide you on substantiation alternatives.
Do you file the late tax returns too?
Yes if you'd like — we'll file the prior-year returns once the books are clean. Or hand off clean financials to your existing CPA.
Should I stop using QuickBooks entirely and start fresh?
Almost never. We can clean within your existing file; starting over loses history that matters for trend analysis and audit defense. Exceptions exist for severely corrupted files.
Can I just catch up myself with online tutorials?
Sometimes — for a simple service business one year behind, yes. Multi-year, inventory, multi-state, or S-corp distributions get out of hand quickly. Free triage call before you commit to DIY.
